Emailing candidates
Templates, variables and what candidates receive.
Templates
Open Email templates to edit the messages your company sends:
| Template | Used when |
|---|---|
| Application received | Someone applies on your careers page (if acknowledgements are on) |
| Shortlisted | You move a candidate to Shortlisted |
| On hold | You put a candidate on hold |
| Not selected | You mark a candidate as not selected |
| New role for a past applicant | You invite someone from the talent pool to a new job |
| Custom message | Anything else |
Variables
Write these in a subject or body and they are filled in for each candidate:
{{candidate_name}} · {{candidate_full_name}} · {{job_title}} · {{company_name}} · {{hr_name}} · {{careers_url}} · {{job_url}}
Sending
Emails are never sent by the engine. When you move a candidate, tick email the candidate to see the message, edit it and send it. Company settings can tick that box for you by default.
Every email sent is listed under Sent emails, and on the candidate's history.
Tone
Candidates who are not selected remember how they were treated. Keep the Not selected message short, kind and final, and never include the reason or the score.
