Stages

| AI screened | Read and scored — waiting for a person |
| HR review | Being looked at by the team |
| Shortlisted | Chosen to move forward |
| On hold | Kept in reserve |
| Not selected | Not moving forward for this job; the candidate stays in your talent pool |
The engine only ever moves a candidate from Applied to AI screened. Every other move is made by a person.
Ways to move candidates
- Board — drag a card between columns.
- Candidate report — change the stage, optionally with an email.
- Ranking — select several candidates and use a bulk action.
When a candidate is marked Not selected, you can record a reason. Reasons are for your team only and are never shown to the candidate.
Top 20 and compare
On the job page, Top 20 narrows the ranking to the strongest candidates. Tick two to four of them and click Compare to see scores, must-haves, strengths and gaps side by side.

Shortlists gathers every shortlisted candidate across your jobs — the list to hand to interviewers.
